A PRACTICAL WEBSITE PLANNING GUIDE

Website project requirements: what to prepare before you build.

A useful brief explains your business, your visitors and the tasks your website should support. Use this guide to discuss the scope with Crystalline Softtech before agreeing design, development, pricing or delivery dates.

START WITH THE OUTCOME

Which kind of website fits the work?

The right scope depends on what visitors need to do. An online brochure, an industrial catalogue, a store and a customer portal require different content and functionality. These examples are planning guidance, not fixed packages.

Website types, preparation and useful review criteria
Project typeMain purposeWhat to prepareWhat to review
Business or corporate websiteExplain your company, services and contact routes.Company introduction, service details, approved contact information, brand assets and required pages.A visitor can understand the offer and find a working enquiry route on mobile and desktop.
Product catalogue or industrial websiteHelp a buyer understand products or capabilities and request a quotation.Product categories, specifications, downloadable documents and images you are authorised to use.Products and documents are easy to locate; a quotation enquiry identifies the relevant requirement.
eCommerce storeLet customers choose products and complete a purchase.Product variations, pricing rules, delivery areas, payment requirements and order-management responsibilities. The agreed cart, checkout and order journeys work with the selected integrations before launch.
Custom application or portalSupport a defined business task or workflow.User roles, permissions, data fields, reports, business rules and required system integrations.Agreed tasks can be completed by the intended users, with appropriate access controls.
01 / BUSINESS & CONTENT

Explain the offer before listing features.

Write a short introduction to the business, the customers you want to reach and the services or products that matter most. Explain the action you want a visitor to take: call, request a quotation, book an appointment or buy a product.

List the pages you expect to need. A company website might require Home, About, Services and Contact, while a larger business may need separate service or product sections. Add a page because it answers a real visitor question, rather than because it creates another keyword variation.

Content and assets to discuss

  • Your logo, approved brand colours and business name.
  • Accurate phone numbers, email addresses and contact location.
  • Service descriptions and relevant product information.
  • Photographs, documents and client work you have permission to publish.
  • The person responsible for supplying and approving each item.
02 / PRODUCTS & QUOTATIONS

Catalogue first, or checkout?

If buyers need a specification discussion before ordering, a product catalogue with a quotation enquiry may be more appropriate than a full checkout. Supply product names, categories, variants, dimensions and technical documents only where they are accurate and relevant.

For an industrial or GIDC business enquiry, explain what a buyer should send: the product or service they need, quantity, specification, application or another detail your team genuinely uses. The form can be scoped around that information.

An eCommerce store adds decisions about product pricing, inventory, tax, shipping, payment providers, order notifications and policies. Confirm who will supply those rules and manage the integrations before development starts.

03 / A CLEAR SCOPE

Six details worth agreeing before development.

How enquiries arrive

Decide whether a form prepares a WhatsApp/email message or sends to a backend. Automatic email delivery, CRM integration, spam protection and stored leads need an agreed implementation and delivery test. A success message should represent what actually happened.

Mobile and accessibility

Agree the key pages and journeys to review on mobile, tablet and desktop. Include usable navigation, labelled fields, readable content, keyboard access, visible focus and clear validation messages in the review.

Content management

Explain which content your team needs to edit. Discuss user roles, editor access, product updates and any training or documentation that should be supplied. A static website and a CMS have different management requirements.

Domain and hosting

Confirm account ownership, hosting responsibilities, HTTPS, renewal costs and access arrangements. Discuss backups and restoration responsibilities. Hosting, email accounts or renewals are not automatically included unless stated in the scope.

SEO and measurement

Plan meaningful titles, headings, crawlable navigation and useful content. Identify the final domain and important existing URLs. Analytics, advertising tracking and conversion measurement need the actual accounts and appropriate configuration.

Maintenance and handover

Agree what is handed over and what happens after launch. Clarify content changes, software updates, backups, support channels and ongoing costs. Separate fixing agreed delivery issues from adding new functionality later.

A FEW PRACTICAL ANSWERS

Questions before asking for a proposal.

What determines the price of a website?

Page count, design requirements, content preparation, functionality, integrations and ongoing responsibilities affect the scope. Share your requirements and budget preference so a relevant proposal can be discussed. This guide does not publish a fixed price or promise a delivery time.

Does a business need an office in every area it serves?

No. A service enquiry can come from a different location than the company’s office. Business contact information should still describe the real location. Crystalline Softtech has one listed office in Rakhial; other location pages do not represent branches.

What would make a local service page useful?

Accurate service arrangements, relevant questions from customers and approved examples of work can help a visitor decide whether the business fits their needs. Location names or rewritten generic paragraphs alone do not establish local experience.

What should I send first?

A short business introduction, your current website if any, the kind of site you need and your essential features are enough to start a conversation. Include a target date and budget range if you have them. Account passwords are not needed in an initial enquiry.

Bring the essentials. We’ll discuss the next step.
